Cancellation & Refund Policy

Applies to all AsiaSim 2026 registration fees. Last revised: September 4, 2026

Article 1 (Scope of service and service period)

  1. The registration fee purchases admission to the 25th Asia Simulation Conference (AsiaSim 2026), held from Thursday, October 29 to Saturday, October 31, 2026 at Ara Convention Hall, Jeju National University, Republic of Korea.
  2. Service delivery begins on October 29, 2026 and ends on October 31, 2026. The period from payment to the end of service delivery never exceeds three months.
  3. What each registration category includes (paper publication, proceedings, lunches, banquet, certificate of attendance) is set out in full on the registration page.

Article 2 (Cancellation and refund schedule)

If you cancel your own registration, refunds are calculated as follows.

29 to 15 days before September 30 – October 14, 2026 90% 10% is retained to cover preparation costs already incurred.
14 to 8 days before October 15 – October 21, 2026 50% Committed costs such as printing and catering are deducted.
7 days or fewer before, and after the conference On or after October 22, 2026 No refund You may transfer your registration to another person instead.

The refund percentage applies to the total amount paid, including any optional items.
The date on which your cancellation email reaches the Secretariat is the date used to determine the applicable band.

Article 3 (Transfer of registration)

  1. If you can no longer attend during the non-refundable period, you may transfer your registration to another participant from the same institution.
  2. Requests must reach the Secretariat by 18:00 KST on Monday, October 26, 2026. No transfer fee is charged.
  3. For presenting-author registrations, the registration may only be transferred to a co-author of the same paper.

Article 4 (Cancellation by the organisers)

  1. If the conference is cancelled because of a natural disaster, an epidemic, or any other cause beyond the organisers' control, the full amount paid is refunded.
  2. If the conference is postponed rather than cancelled, you may either carry your registration over to the new dates or receive a full refund, at your choice.
  3. If a payment error occurs through the organisers' fault, or the service you paid for is not delivered, the full amount is refunded and Article 2 does not apply.

Article 5 (How to request a refund)

  1. How to apply · Email the Secretariat at simulation1992@daum.net with your order number, name, payment date, and reason for cancelling.
  2. Acknowledgement · The Secretariat confirms receipt and states the refund amount within three business days.
  3. Processing · The refund is submitted within three business days of approval. How long it takes to appear depends on your payment method:

  4. Partial refunds · Where Article 2 provides for a partial refund, the payment is partially cancelled and the remaining balance stays charged.

Article 6 (Cards issued outside the Republic of Korea)

  1. Registration fees are authorised in the currency stated on the registration page at the time of payment. Where the authorisation currency is Korean won, your card issuer converts the amount into your local currency at its own rate.
  2. Refunds cancel the original authorisation in the currency in which it was made. Because exchange rates move and issuers charge their own foreign-transaction fees, the amount credited back to you may differ from the amount originally debited. This difference is set by your card issuer and cannot be adjusted or made up by the organisers.
  3. Please review this article before paying. By proceeding with payment you confirm that you have done so.

Matters not covered by this policy are governed by the Act on the Consumer Protection in Electronic Commerce of the Republic of Korea and the Criteria for Resolving Consumer Disputes published by the Korea Fair Trade Commission.
